Use appropriate test data and access
Supply dummy records where practical and avoid sharing production customer accounts. Limit test credentials to the task and use a secure handoff route. Explain which permissions the build requests and how a participant can decline them. Do not ask testers to provide their passwords, payment details or recovery codes in a report, and avoid collecting unrelated identifiers simply because a form allows it.
Set evidence handling rules before recruitment
Say who can see reports, whether recordings are optional and how participants can ask about their data. Require redaction of screenshots and logs before wider sharing. Restrict spreadsheets containing member contacts and keep retention proportional to the research purpose. Get appropriate permission before republishing a private comment as a testimonial; agreeing to beta feedback is not automatically agreement to appear in an advertisement.
Check product disclosures separately
A careful research workflow does not validate the app’s privacy policy, SDK behavior or store declarations. Inventory what the released build actually collects and shares, including third-party SDKs. Compare it with the relevant App Store or Google Play disclosure process. Legal duties depend on facts and jurisdictions; use qualified review for uncertain cases instead of labeling a generic checklist a compliance certificate.
Working example
Before a screenshot task, tell participants: ‘Use sample records. Crop notifications, emails and account identifiers. Share evidence only through the private report route. If the task exposes personal data, stop and contact us.’ Verify that the upload destination has the access controls you promised. Instructions alone do not prove the storage is private or that every screenshot was redacted.
